Show document
You can view the documents added within Raiser's Edge records by using the Show Document options from the Records and Batch sections available in the Raiser's Edge bar on left side in an application.
You can view PaperSave documents associated with Raiser's Edge records by following the below steps:
1) In Raiser's Edge, Click on PaperSave - Show documents to view associated document from Record and click on the Show Existing Document(s) button to view it from the batch section which appears if there is any PaperSave document associated with the record as shown in the below screens.
2) Now, it will open Document list window of PaperSave application. If there are multiple documents associated with an Raiser's Edge record, then PaperSave document list as shown in the below screen.
Note: If there is only one document associated with the Raiser's Edge record, then upon clicking the Show Document, the document will directly open in the item viewer (Document Display) window.
3) The PaperSave document list window also contains the list toolbar with the following options:
- New: This option primarily enables you to add documents to the currently selected Raiser's Edge record.
Note: This option will remain enable only when a current user has rights to add the document within the selected document type. These rights could be managed from the Document types in the Configuration Area.
- Filter: This option allows you to narrow down the items in the list by applying filter conditions. Learn more about Filter.
- Refresh: This option updates the recent changes in the document list.
- Choose Fields: This option allows you to set desired preferences for the fields displayed in the current list using Choose Fields. Learn more about Choose Fields.
- Show Grouping: This option helps you cluster the items in the list based on the desired header fields. Learn more about Show Grouping.
- Export to Excel: This option exports the current list of items to Microsoft Excel Sheet. Learn more about Export to Excel.
- Interrelated: This option allows you to view documents that are indirectly associated with the selected record or document type based on the interrelationships that have been defined in the PaperSave Configuration Area.
4) The documents associated with the selected Raiser's Edge record will be displayed (when there are more than one) in the PaperSave Document list window organized by PaperSave document type.
5) When you select the desired item from the list, a slide up panel will pop-up at the bottom of the screen, as shown below.
- The slide-up panel contains the following options:
- PRINT: This option enables you to print the selected item from the list.
Note:
1) Print option will be only allowed if a single item is selected. In case, multiple items are selected , then the Print button will be disabled.
2) This option also prints the annotations on the document, if any.- SHARE: You can share the selected item(s) from the list using any of the below options:
Share Workflow item via eMail
- Share link of the Workflow item via eMail
- Copy Link
- DOWNLOAD: You can download the selected documents from the list. Learn more about the Download option.
- JOIN SELECTED ITEMS: You can merge two or more items of any image type (i.e. pdf, tiff, gif, jpg, bmp, etc.) from the list using join operation. This option will be enabled when you select two or more items of the same type that are in the same step. This option is based on the current user’s role & permissions as well as document type security. You can click on Join Selected Items option to learn its steps in detail.
- DELETE: You can permanently discard the unnecessary items from the current list using the Delete option.
Note: The Delete option will remain enable only if the current user has the rights to delete the item within the selected document type. These rights could be managed from the Document types in the Configuration Area.- VERSIONING: This option is used to control the changes made in different versions of the selected document. Click on this option to see the various versioning options as shown in the below screen.

Following is the description of various options available in Versioning:
Check In : This option is used to save the changes made to the selected document. You can check-in only those documents that are checked-out or are checked-in for the first time after being added. Clicking Check In button will open a window where you need to select version type with which you would like to check-in the selected document. Versioning the documents as minor or major enables you to track the type of changes made to the document. Moreover, you can add the Version Comments in the available text-box for your reference. Then click OK to check-in the document. It will display the Check-In success or failure.
Check Out: This option will check-out the selected document, which will enable you to make changes to the document. You need to check-out the document to make any changes.
Undo Check Out: This option will undo all the changes made to the document after the latest check-out was made to the document and revert back to the prior version of the document.
Show History: This option will display the history of check-in operations made to the selected document. You will see check in details like Version of the document, Name of the User who checked in and Last modification time. You can also view the document by clicking View. You can click Restore, if you wish to revert back to the selected version of the document. It will prompt for confirmation before restoring the document.
- MASS UPDATE FIELDS: This option is used to create templates to define values for the Document fields. Click on the Mass update fields option to choose the desired template from given list of templates.
6) Now, click on the ID hyperlink, or double-click on the desired item to open that document in the item viewer as shown in the below screen.
In addition to viewing associated documents directly from the Raiser's Edge record, you can also view related documents by using any of the below options:
